Clinic booking follow-up scripts
Copy five messages that help your reception team turn unanswered enquiries into booked visits.
An enquiry is a person asking for help booking. Give your reception team a clear next step instead of another message to write from scratch. These scripts work for clinics, medspas and medical centres. Replace the placeholders before sending.
Use the contact channel the person agreed to. Keep appointment messages discreet: no treatment names, symptoms or reasons for visiting. Stop when someone declines or asks you not to contact them.
1. First reply
Hi {first name}, thanks for getting in touch with {business}. I can help with booking. Would {option one} or {option two} work for you?
Offer two actual available times. If the person asked a question, answer it first. A booking link is useful when it opens the right calendar; do not send someone back to your homepage to start again.
2. They haven't booked
Hi {first name}, would you still like help booking? You can choose a time here: {booking link}. Or reply and I'll help.
Send this after an unanswered booking conversation, rather than to everyone who visited your website. Assign one team member to follow up so several people do not chase the same enquiry.
3. Day three
Hi {first name}, just checking whether you'd like me to help find a time. Let me know what day works for you.
A reply should lead to a useful answer. If your team cannot offer the requested time, suggest an available alternative. Do not imply that appointments are nearly gone unless that is true.
4. Day seven: close the loop
Hi {first name}, I'll leave this with you for now. If you'd like to book later, reply here and we'll help.
This is the final enquiry follow-up. Mark the conversation as closed unless they respond. A quiet enquiry is not permission for an endless sequence of promotions.
5. Appointment reminder
Hi {first name}, a reminder of your appointment on {date} at {time}. Please reply to confirm. Need to change it? Contact us here: {contact link}.
Send this only for an existing appointment. Use your clinic's agreed reminder schedule. If someone needs to move their visit, make it easy for your team to release that slot and offer another.
- Choose an ownerOne team member handles the conversation.
- Offer a next stepAnswer the question, then offer a time or booking link.
- Record the outcomeMark booked, declined or closed so nobody is chased twice.
Make it part of the day
Keep these messages in your reception team's saved replies. Check open enquiries at agreed points during the working day. Record a response time your team can actually maintain; do not promise instant replies if nobody is available.
At the end of the week, count enquiries, bookings and attended visits separately. That tells you whether the gap is getting people to book or getting booked patients to arrive. Use the free patient-growth tracker to record those totals without patient details.
